Fluent ("we," "our," or "us") is a macOS application that listens to your calls and provides real-time English coaching feedback. This policy explains what data we collect, how we use it, and your rights.
1. What We Collect
Account information. When you sign up, we collect your email address and a hashed password (or, if you use Google sign-in, your Google account name and email). We never store your plain-text password.
Google Calendar data. If you sign in with Google and grant calendar access, Fluent reads a limited view of your primary calendar — the next few upcoming events (title, start/end time, and attendees) — to display an "Up Next" view in the app so you can prepare for your calls. We request read-only access (calendar.readonly). We do not modify your calendar, and we do not store the contents of your calendar events on our servers beyond what is needed to return this view to your device.
Audio and transcripts. Fluent captures system audio on your device during calls. To transcribe it, the audio is sent securely to our speech-to-text provider (Deepgram), which returns a text transcript. For longer sessions, the audio is held briefly in encrypted, access-controlled object storage solely so it can be transcribed, and is deleted immediately after transcription (with an automatic expiry within 24 hours as a backstop). We never write your audio to our database and never retain it after transcription. The resulting text transcript is then used to generate coaching feedback and is deleted from our servers after processing.
Coaching sessions. We store the coaching feedback generated from each session (issues found, suggestions, scores) in your account so you can review your history.
Billing information. Payments are processed by Stripe. We store only a Stripe customer ID and subscription status; we never see or store your card number or full payment details.
Usage data. We collect basic server logs (timestamps, endpoint paths, HTTP status codes) for debugging and reliability purposes. These logs do not contain the content of your calls or transcripts.
2. How We Use Your Data
- To provide real-time English coaching feedback during your calls.
- To store your session history so you can track your progress over time.
- To manage your account, subscription, and billing.
- To send you transactional emails (e.g., account confirmation, billing receipts). We do not send marketing emails without your opt-in.
- To debug issues and maintain service reliability.
We do not sell, rent, or share your personal data with third parties for their own marketing purposes.
3. Audio Privacy
Your call audio is captured on your device and sent securely (over encrypted HTTPS/TLS) solely to be transcribed by our speech-to-text provider. For shorter sessions the audio is passed straight through our backend for transcription and never stored. For longer sessions it is held briefly in encrypted, access-controlled object storage so our provider can transcribe it, then deleted immediately afterward (and automatically expired within 24 hours as a backstop). We never save your audio to our database or any long-term storage, and never retain it once transcription is complete. Only the resulting text transcript is used to generate coaching feedback, and that transcript is not retained after the response is returned to your device.
Fluent requires macOS microphone and audio permissions to function. You can revoke these at any time in System Settings → Privacy & Security, which will stop Fluent from capturing audio.
4. Third-Party Services
- Stripe — payment processing. Stripe Privacy Policy.
- Google OAuth & Google Calendar API — optional sign-in and calendar access. If used, Google provides us your name and email, and (with your consent) read-only access to your upcoming calendar events. Google Privacy Policy. See our Limited Use disclosure below.
- Deepgram — speech-to-text transcription. Call audio is sent to Deepgram solely to produce a text transcript and is not retained by us. Deepgram Privacy Policy.
- Anthropic Claude API — generates coaching feedback from your transcript. Transcripts sent for coaching are subject to Anthropic's Privacy Policy. Anthropic does not use API inputs to train its models by default.
- Neon — hosted Postgres database where account and session data is stored, operated in the US.
- Cloudflare R2 — encrypted object storage used only to hold a longer session's audio for the brief moment it takes our speech-to-text provider to transcribe it. The audio is deleted immediately after transcription and auto-expires within 24 hours; it is never retained. Cloudflare Privacy Policy.
5. Google API Services — Limited Use Disclosure
Fluent's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, the calendar data Fluent accesses through Google APIs is used solely to provide and improve the user-facing "Up Next" feature within the app. We do not transfer or sell this data to third parties, do not use it for advertising, and do not allow humans to read it except where required for security, to comply with applicable law, or with your explicit consent.
6. Data Retention
Your account data and session history are retained as long as your account is active. You may delete your account at any time from the Fluent app settings, which permanently removes all your data from our servers within 30 days.
7. Security
Passwords are stored as bcrypt hashes. All data in transit is encrypted via HTTPS/TLS. We do not store raw audio or full call transcripts beyond what is needed to generate a single coaching response.
8. Your Rights
You may at any time:
- Access or export your session history from within the app.
- Delete your account and all associated data via app settings.
- Request a copy of data we hold about you by emailing hello@fluent.app.
If you are in the European Economic Area or the United Kingdom, you have additional rights under GDPR/UK GDPR, including the right to object to processing and to lodge a complaint with your local supervisory authority.
9. Children
Fluent is not directed at children under 13. We do not knowingly collect personal data from anyone under 13.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or an in-app notice. The "Last updated" date at the top will always reflect the current version.
